Update Open AR File (AR 20)
The Update Open AR program is used to update:
- Customer PO numbers
- Invoice dates (that affect aging)
- Warehouse and branch information on open AR items already posted.
- Invoices that are in dispute with customers. These are labeled with an asterisk on the AR Ledger screen and AR reports. You can make changes without having to reverse entries and reenter them.
This program can only access open AR items (open items are invoices, credits that still appear on the Open AR Ledger screen and reports. Once an item has been paid or otherwise cleared from the AR ledger, it cannot be accessed via this program. Any changes to the invoice through this option do not update the actual invoice file.
On the AR menu, enter 20 - Update Open AR File, and press Enter. The Open AR File entry screen appears.

Enter Company Number |
Enter the one-digit company number to which the invoice belongs. |
Enter Account Number |
Enter the five-digit customer account number to which the invoice belongs. |
Enter Invoice# |
Enter the six-digit number of the invoice that you want to update. If you don't know the invoice number, you can search for it using the A/R Ledger screen, or the Open Order Inquiry and Search on the Invoicing Menu. If you only know the customer account number, use the A/R Ledger screen. If you only know the order number or the customer's PO number, use the Open Order Search. |

Enter the password, if required. |
After entering the necessary information, press Enter. The next screen shows the requested invoice number, and lets you change the fields on the bottom half of the screen.

Invoice Amount |
The sales or invoice amount. Credits appear with a minus (-) sign. You cannot update this field. |
Invoice Code |
The transaction code assigned to the sale or invoice. Refer to the Print AR Transaction Codes List - RAR 8 on the A/R Reports Menu for a list of all codes and their meanings. You cannot update this field. |
Payment Amount |
The payment amount. Refunds or check reversals appear with a minus (-) sign. You cannot update this field. |
Payment Code |
The transaction code assigned to the payment. Refer to the A/R Transaction Codes List on the A/R Reports menu for a list of all codes and their meanings. If this field is blank, no payment has yet been applied to the invoice. You cannot update this field. |
Order# |
The order number associated with the invoice, or with an advance deposit. The order number appears on pick lists, order acknowledgments and invoices. You cannot update this field. |
Customer PO# |
The order number assigned by the customer or another reference, such as the name of the person who placed the order. |
Invoice Date (MMDDYY) |
The date of the sale or invoice. |
Branch |
The branch number assigned to the sale or invoice. |
Warehouse |
The warehouse assigned to the sale or invoice. |
In Dispute Code |
This field can only be accessed via this program or when applying cash. It is a one-character code that is user-defined. Your company should create a list of situations they want identified by a code and assign a character to each situation. For example, T - terms dispute, P - pricing dispute, Q - customer short paying to quality problem. This field appears followed by an asterisk on the A/R Ledger screen and the Detailed Aging Report. Dispute Codes are created via menu option AR Dispute

Terms Code /Days |
The terms code assigned to the invoice. Enter ? to search the available terms codes. If you change the terms code, make sure you also change the Days field to relate to the terms. If multiple terms are used, the number of days should be the total days needed to relate to the multiple terms. |
